In short
- SchoolNav accounts are for adults. A parent or guardian enters information about the household and its children, and decides which other adults can see it.
- We use that information to run the tools you use. We do not sell it, and we do not use it for advertising.
- Other companies process data for us, such as our database host, our payment processor, and the AI providers behind the AI tools. They are listed below with what each one receives.
- You can download your data or permanently delete a child, a household, or your whole account on your Profile page.

1. Who we are and who this covers
SchoolNav (“SchoolNav,” “we”) runs schoolnav.app. SchoolNav is not affiliated with Chicago Public Schools (CPS) or GoCPS. This policy covers the website and the signed-in app.
Accounts are for adults who are 18 or older. Children do not create accounts. A parent or guardian enters information about a child, and a child may use the practice tools inside the parent’s account under the parent’s supervision. Practice answers and results are saved to that household.
2. Information you give us
- Account: your email address, your password, and the display name you choose.
- Household: the household name, the email addresses of adults you invite, and each adult’s role.
- Children: a first name or nickname, the current grade, and an optional date of birth.
- Home addresses: the street addresses you save, the map point for each, and the CPS tier that point falls in.
- Admission scores: test scores and related numbers you choose to enter. These are encrypted by the app before they are stored. Another adult in your household can read them only if the household owner turns that on for that adult.
- Your work in the app: school lists, ratings, notes, tour notes, offers and waitlist records, reminders, practice sessions, questions you ask the AI tools and the answers, and files you attach in the Principal Discretion package coach.
- Community: your pseudonym (a made-up name you pick), your posts and messages, and any reports you file.
- Payments: Stripe collects your card details on its own page. SchoolNav does not receive or store your card number. We store the Stripe customer and payment references and your plan status.
- Email you send us.
3. Information collected when you use the site
- Product analytics (PostHog): page views by page path, without the part of the address after the question mark, and a short list of product events such as “account confirmed” or “checkout started.” For signed-in users these are tied to an account ID number, not to a name or email. Automatic click capture and session recording are turned off, and a browser “Do Not Track” setting is respected.
- Error reports (Sentry): technical details about a crash. Before a report leaves the app, a filter removes email addresses, street addresses, and fields such as names, scores, notes, and tokens. Session replay is turned off.
- Cookies and browser storage: a sign-in cookie that keeps you signed in, and a PostHog cookie and browser storage entry used for the analytics above. SchoolNav sets no advertising cookies.
4. How we use information
We use information to provide the tools you use, to take payment, to send the emails the product needs (such as confirmations, invitations, and reminders), to moderate the community, to fix errors, and to understand which parts of the product are used. We do not sell personal information, and we do not use it to advertise to you on other sites.
Public pages, such as school pages and neighborhood pages, are built from the public sources listed on the Data sources page. They do not show household or child information.
5. Who in your household can see what
Household information is visible to the adults on that household’s team and not to other households. The database enforces this rule on each table, in addition to the checks in the app. The household owner invites adults, sets each role, and can remove an adult. A person with a view-only role can read but cannot change household information.
The street line of a saved address is visible to the adult who added it and to adults that person chooses to share it with. Admission scores are visible to the household owner and to adults the owner has granted access, as described in section 2.
If you create a share link for a ranked list, anyone who has the link can read that list until you turn the link off.
6. Companies that process data for us
These companies receive the data described here so that the feature works. Each one handles data under its own terms.
- Supabase: hosts the database, sign-in, and file storage, so it holds the information in section 2.
- Fly.io: runs the web servers that your requests pass through.
- Cloudflare: provides DNS for schoolnav.app and routes email sent to our addresses.
- Stripe: processes payments. It receives your email address, your card details, and your purchase.
- Resend: delivers our email, such as sign-in confirmations, household invitations, and reminders. It receives the recipient’s email address and the content of the message.
- Chicago Public Schools address lookup: when you save a home address or check a tier, the address text is sent to the public CPS address service, the same one the GoCPS school search uses, to find its map point.
- Mapbox: drive-time estimates in Compare send the map point of your saved address and of the school. The address text is not sent.
- OpenAI and Anthropic: the AI tools send the text you type into that tool, plus the context the tool needs. For the admissions strategist that context is your child’s grade, your CPS tier, and the programs on your list with their likelihood bands. For the package coach it is your child’s grade and the criteria you are working on. SchoolNav does not add a child’s name, date of birth, home address, or saved admission scores to these requests. Text pulled from a file you attach to the coach is filtered first to remove scores, addresses, phone numbers, email addresses, birth dates, and lines that mention an IEP, a 504 plan, or a diagnosis. Text you type yourself is sent as you typed it, so leave out anything you do not want processed. Anthropic also processes some community posts, to screen and summarize helpful answers and to strip contact details from relayed answers, and the tour notes or transcripts that you ask SchoolNav to sort or summarize.
- Deepgram: if you upload an audio file of a tour, the file is sent to Deepgram to be turned into text. SchoolNav does not save the audio file. Only the text is kept, in your tour note.
- PostHog and Sentry: receive the analytics and error data described in section 3.
We also disclose information when the law requires it, or to a successor if SchoolNav is sold or merged. In that case this policy continues to apply to your information until you are told otherwise.
7. Recording a school tour
Illinois law requires everyone in a conversation to agree before it is recorded. Tour transcription is off until you turn it on. Before the microphone opens, or before an uploaded recording is processed, you must confirm that the people recorded agreed, and SchoolNav saves a record of that confirmation.
Live transcription uses the speech recognition built into your browser. Depending on the browser, its maker may process the audio to produce the text. SchoolNav does not receive or store the audio in either mode. It stores the text.
8. Your choices and controls
- Download: Profile, then “Your data,” gives you a file of your account, household, and child records. Encrypted admission scores are not included in the file. You can read them in the app.
- Delete: on the same page, a household owner can permanently delete a child or a household, and any person can delete their own account. Deleting a child or a household removes the records stored under it. Deleting your account also deletes each household where you are the only owner. Posts you wrote in community discussions stay, without a link to your account. Direct messages you sent are deleted. A record that a deletion happened is kept, with ID numbers only.
- Correct: you can edit your profile, children, and addresses in the app.
- Analytics: the “Do Not Track” setting in your browser turns off PostHog analytics there.
Your information stays in your account until you delete it. If you cannot use these controls, email hello@schoolnav.app from your account’s address and we will help.
9. Security
No system is fully secure, and we cannot promise that information will never be accessed without permission. The measures described in sections 2, 3, and 5 are the ones in use today. If you think your account has been accessed by someone else, email us right away.
10. Changes and contact
If this policy changes, we will post the new version here with a new date. If a change is significant, we will also tell account holders by email or in the app before it takes effect.
